Time management and productivity: save up to 4 hours a day

Article written by Elisa Bauer

24 hours are not enough in a day

In a world where days always seem too short, the time management is no longer just a useful skill: it is a real performance lever. Whether you are a manager, executive, self-employed or student, learning to optimise your schedule not only allows you to gain productivity, but also to reduce stress and improve your quality of life.

You probably know the feeling: the day has barely begun and already you're bombarded with emails, meetings and emergencies. Your to-do list keeps getting longer, you rush from one task to the next without really making any progress, and by the evening, you feel like you haven't accomplished anything that really matters. This feeling of constantly chasing after time is exhausting... but it doesn't have to be that way.

Your time management is essential today.

Poor organisation can cost you dearly: loss of 1 to 2 hours per day, accumulation of urgent tasks, loss of concentration and general frustration.

The consequences are twofold:

  • Individual : fatigue, mental overload, feeling of never “moving forward”.

  • Organisational : project delays, errors, additional costs.

Why time management changes everything

  • Mental clarity Knowing exactly what to do and when to do it reduces mental load and frees up energy to focus better.

  • Less stress : Being in control of your schedule limits unexpected events and helps you stay in control.

  • More results with less effort Organised people achieve more, but often work fewer hours because they avoid wasting time.

  • Better work-life balance Prioritising what matters allows you to preserve moments for yourself and your loved ones.

Common mistakes to avoid

  • Starting the day without a plan : we get caught up in emergencies.

  • Underestimating the time required : you overload your schedule and end up frustrated.

  • Excessive multitasking : it gives the impression of moving forward, but it reduces quality and speed.

  • Saying “yes” too often : Accepting non-priority tasks eats into your time for what really matters.

Implement key techniques

1. Pomodoro Technique

Work in focused 25-minute sessions, followed by short breaks, to maximise concentration and avoid cognitive fatigue (the Pomodoro Technique).

2. Eisenhower Matrix

Prioritise tasks according to their urgency and importance in order to focus on what really matters (Eisenhower's matrix).

3. Time Blocking

Block out time slots dedicated to specific tasks to avoid distractions and interruptions (Block scheduling).

4. GTD (Getting Things Done) method

Capture, organise and process all your ideas and tasks efficiently so you don't forget anything and stay on top of your commitments (Getting Things Done), a method popularised by David Allen, 2001.

Manage your energy, not just your time

We often talk about “saving time”, but in reality, your productivity also – and above all – depends on your energy levels. Even with a perfectly structured schedule, if you are tired or unmotivated, your performance will suffer. This is explained by Tony Schwartz, The Power of Full Engagement The key is not to work longer hours, but to better manage your physical, emotional and mental energy cycles. In practical terms, this means identifying the times of day when you are most focused (often in the morning for most people) and scheduling strategic tasks during those times. Conversely, reserve periods of lower energy for lighter or administrative activities. Integrating this dimension into your organisation not only allows you to make better use of your 24 hours, but also to preserve your health and motivation in the long term.

In summary

Time management is not just a matter of diaries or techniques: it is a way of regaining control of your life. Mastering your time means mastering your energy, your choices and your priorities. And that is often what makes the difference between a life you endure and a life you choose.
